Get familiar with how external sharing works 1 Users who don't have an Office 365 license, but who has been given access to a site or document in your SharePoint environment. 2 Not an employee of the organization. 3 Usually any 3rd party.
For example, the HR site should not be allowed to be shared externally, while a Project Site or Office 365 Group site might be allowed to be shared externally. Check the Security and Compliance Centre and Site Usage reports regularly.
Add a web part. In your news post or page, select the plus sign where you want to insert content. Select the web part you want to use: Text, Image, File viewer, Link, …. When you have added all the web parts that you want, select Publish.
Select whether you'd like to create a Team site or a Communication site. Enter the name (and a description, if you want) for the site. You can select Edit and then edit the group email address or site address, if you want. Choose a sensitivity level for your site information. Select whether the group will be public or private.
Before you tell me, “But Greg, but we do not allow external sharing in our organization, so this post would not apply to us,” let me be the first to tell you – “Yeah, right! Good luck with that”! Despite your best efforts and objectives, you cannot prevent external sharing. Just like the office romance – it will happen.
Before we set up the external sites, I recommend that you familiarize yourself with these few posts I published in the past on external sharing. They will provide the necessary background info on how external sharing works and best practices on the setup.
To share externally, we will create a brand new site. Nothing technically prevents you from sharing directly from your existing sites, but in this context, I assume that we are creating a dedicated site for a vendor or client.
From my experience, I find that a Team Site without an Office 365 Group is usually the best site template for client or vendor sharing. It gets you a simple site with left-hand-side navigation but without an overhead of an Office 365 Group (Planner, Teams, etc.).
Do you want your client or vendor to access the entire site or only a few files and folders?
If you decide to share a whole site externally, users will need to log in.
This is the step where you need to roll up the sleeves and clean up the page created by the site template. Check out this post for some best practices.

SharePoint enables identifying and tracking user identity by assigning a unique number to each user. Also, SharePoint offers two-factor authentication, which makes it harder for hackers to compromise ePHI even if they crack or steal a password. The additional method of authentication can be an email address, a security question, a text, a voice call, etc. For example, a user logs in with their password and enters a code from an email.
HIPAA regulations are on guard of sensitive information in the healthcare industry. They require verification of a person or entity seeking access to Protected Health Information stored or transmitted electronically (ePHI): names, dates, geographical identifiers, medical record numbers, biometric identifiers and more. Also, HIPAA stipulates the security of ePHI against reading, writing, modifying or sharing. In relation to medical software, being HIPAA-compliant means that the application allows meeting the three safeguards of the HIPAA Security Rule: 1 Administrative safeguards. They require healthcare institutions to perform risk assessment and risk management. They also demand to develop and review information system activity reports, manage information access, implement security incident response, a security program, employee training, and more. 2 Technical safeguards. They involve common security controls, such as user authentication, authorization, access control, encryption, data integrity, and audit trail. 3 Physical safeguards. They involve controls related to physical access to information and systems, including facility access, workstation access and use, workstation security, device and media controls (disposal, media reuse, etc.).
