Dentrix reports give you the visibility into your practice that you need as a business owner. With that in mind, let me share with you five critical Dentrix reports that every doctor should be using regularly.
The new Patient Visit Form makes it easy to create customized patient route slips that display only the information you need. To learn more about the Patient Visit Form, visit the Dentrix Resource Center and download the Dentrix Reports Reference. You can also see the Patient Visit Form topic in the Dentrix Help.
If the doctor in the above story had looked at the Day Sheet in Dentrix, she would have noticed that the root canal was incorrectly billed out, and it never would have been sent to the insurance company. The clinical team can also use the Day Sheet to see if something was missed, such as X-rays, pulp caps, or build-ups.
(For information about each filter, consult the Dentrix G4 User’s Guide or the Dentrix G4 Reports Reference.) Click the Data Fields tab and check the data you want to include on the report. Click OK to close the Patient Report View.

A: There are different reports in Dentrix that will show you the total number of patients in your practice. You could run a Patient List or a Practice Statistics Report. However, these reports are only looking at the patient status on the Family File. The most accurate and up-to-date report is the Practice Advisor.
On the Home menu, under Reports, click (or tap) Power Reporting. The Power Reporting page opens.
In the Office Manager, from the Reports menu, point to Ledger and then click Insurance Aging Report. Set up the desired options (make sure to select the aging you want to view under Minimum Days Past Due), and then click OK. You can preview the Insurance Aging Report from the Batch Processor.
Running the Insurance Aging Report To run the Insurance Aging Report, in the Office Manager, from the Reports menu, point to Ledger, and then click Insurance Aging Report. The Insurance Claim Aging Report dialog box appears. Specify what you want included in the report, and then click OK.
The Aging Report in DENTRIX allows you to track which patients owe you money. It breaks down how old (aged) the debt is, and how much of the money is estimated to be the patient or insurance portion. Additional options allow this report to display Guarantor Notes and/or a breakdown of provider balances.
A .pdf version of the report appears in a new browser tab or window. Also, a copy of the document is added to the patient's Document Manager.
The report displays the treatment-planned procedures by visit for each selected case. Select or clear the Include notes check box under Case notes to include case notes on the report or to exclude case notes from the report. Select or clear the Include notes check box under Procedure notes to include procedure notes on the report or to exclude procedure notes from the report. Also, select or clear the Include chart check box under Current dental chart to include a graphic of the patient's current dental chart on the report (regardless of the specified date range for the report) or to exclude a dental chart graphic from the report.
If the Prescriptions switch is set to On, select the prescriptions that you want to include on the report. Also, select or clear the Include notes check box to include notes that have been added to the prescriptions on the report or to exclude notes that have been added to the prescriptions from the report.
The Patient Clinical Report displays information from a patient's clinical record for a specified date range.
Using the browser's or the .pdf's printing tools, print the report. Alternatively, you can export the document from the patient's Document Manager and then print it.

To run an adjustment report with patient names, from the Office Manager, click Reports > Management > Day Sheet. Under Select Date, specify the desired date range for the report. Then under Select Report Types, select only Adjustment Only Day Sheet, and then click OK.
The Provider A/R Totals Report will show you your gross production, adjustments to production, net production, gross collection, adjustments to collection, net collection, and accounts receivable.
To help prevent fraud, both the Day Sheet and Audit Trail Report are sequentially numbered. Each time these reports are run, the audit number increases by 1. This makes it easier for you to monitor when these reports are being used, possibly for purposes of committing fraud.
This report is for the doctor’s eyes only. You should have user IDs and passwords enabled in your practice. In specifying security rights, make sure you are the only person on your team who can access this report. My recommendation would be to look at this report on a monthly basis for any red flags. For each of these entries, you’ll need to do a little more research or ask the team member who made these entries why these changes were made.
Once you decide which patient information you want to include on the form, save those settings as the default by checking the Save As Default box on the lower left of the form dialog box. Dentrix will save the custom settings only on the computer used to set up the form.
The Patient Visit Form is a customizable route slip that you can view or print for a selected appointment, a specific patient, or multiple patients at a time. You can generate Patient Visit Forms for specific providers, operatories, or appointment dates. You can even customize the information that’s included on the form, including patient, family, account, continuing care, and insurance information; patient and family alerts; patient and account notes; treatment-planned procedures; and/or future appointments.
Use the Appointment Book to generate a form for an individual patient with an appointment. To do so, first select the appropriate patient appointment. Then, from the File menu, click Patient Visit Form. Alternately, you can click the Patient Visit Form button on the Appointment Book toolbar.
Wouldn’t it be nice if you didn’t have to sift through information on the form that wasn’t necessary? Now your office can create route slips that contain only the information you choose, with the new Patient Visit Form.
There are over 30 different options you can customize to create a patient visit form that works best for your office. For example, you may prefer not to include the primary and secondary dental insurance information as well as the primary and secondary medical insurance information on the form. With a couple of quick mouse clicks, you can remove the medical insurance information from the form.
