If you’ve used the Dentrix Document Center, you already know that you can use it to store and view documents for individual patients. But did you know that you can also use it to store and view documents for selected providers, including referral providers? I’ll show you how to do this.
The Patient Report (by Filters) option in Dentrix makes it easy for you to create custom reports and find specific patient data. When you generate reports using this feature, you can specify which information you want to see on the report, so you don’t have to search through information you don’t need to find the information you want.
Charting referred procedures in the Dentrix Patient Chart can help in several ways. You know the patient’s chart information is accurate, and it quickly provides the information you need without having to search through a paper chart or the patient’s Document Center files.

You also have the option to write an additional note on the bottom of the referral if there is something you need to communicate to the referred to doctor. Charting referred procedures in the Patient Chart can save you time. You no longer have to search for referral information—it will all be in one place. Furthermore, the Patient Chart will be more accurate with a record of all procedures, including those that were referred out to another doctor.
In the Patient Chart under the “R” column (for Referral), an “R>” symbol is added next to the procedure to show that it has been referred. The Amount column also changes to 0.00 for this referred procedure. The referred procedure still prints on the patient’s printed Treatment Plan Case. I like this because it communicates to the patient that that procedure needs to be completed. Also, if you have set visits in their treatment plan, the patient knows in what order the treatment should be completed.
Did you know you can print a referral slip right from the Patient Chart to give to your patient? This can save time having to hand write a referral and then scan that referral into the Dentrix Document Center. After you have marked a procedure as Referred To Doctor in the Patient Chart, from the File menu, point to Print, and then click Referral Slip. The date range will default to today’s date, but you can change the date range as needed to include the date of the referred procedure.

Once the treatment has been completed by the referral doctor, you can mark the procedure as completed in the Patient Chart. Because it was done by another provider, the procedure will have an Existing Other status in the Patient Chart and will appear as Existing Other in the graphic chart.
Dentrix Enterprise can help you track the patients who have been referred to another doctor or specialist. You can add other dental providers, medical professionals, and specialists to whom you refer treatment or services as referrals. Select or clear the Include notes check box under Case notes to include case notes on the report or to exclude case notes from the report. Also, select or clear the Include chart check box under Current dental chart to include a graphic of the patient's current dental chart on the report (regardless of the specified date range for the report) or to exclude a dental chart graphic from the report.
A .pdf version of the report appears in a new browser tab or window. Also, a copy of the document is added to the patient's Document Manager.
If the Prescriptions switch is set to On, select the prescriptions that you want to include on the report. Also, select or clear the Include notes check box to include notes that have been added to the prescriptions on the report or to exclude notes that have been added to the prescriptions from the report.
The Patient Clinical Report displays information from a patient's clinical record for a specified date range.
Using the browser's or the .pdf's printing tools, print the report. Alternatively, you can export the document from the patient's Document Manager and then print it.
To keep on top of your referred patients, run the Referred to Doctor Report, filtering it by referral status. This will help ensure that your referred patients and treatment do not fall through the cracks.
By default, no referral statuses are set up. You can add referral statuses in the Office Manager under Maintenance > Practice Setup > Definitions > Referral Status .
Once you have added your desired referral statuses, you can assign those to any current or future referred procedures.
You can delete a referral status only if it is not assigned to any referrals.
In Dentrix Enterprise 11. 0.2, you can now create a customizable referral status list giving you the option to track your referred patients. For example, you can track if a referral has been sent, contacted, followed-up on, or completed.
